However, conventional methods involving piles of physical documents and in-person verification are becoming less common due to their time-consuming nature and susceptibility to errors or fraud. As digital transactions become more popular in the property industry, the demand for secure, efficient, and reliable electronic methods to verify both identities and signatures is growing.

Of course, you’d be aware that Verification of identity (VOI) is the process of confirming that an individual is who they claim to be. Verification of signer, on the other hand, ensures that the individual who signs the document is the same person whose identity has been verified, thereby preventing unauthorised or fraudulent signings.

How does Scantek’s digital signing solution work?

Scantek’s latest feature allows your clients to complete their ID verification and digitally sign a document in a single, streamlined process. Here’s how it works:

Step 1: The conveyancer uploads the document

The portal user (i.e. the conveyancer) uploads a PDF of the document that requires signatures. This could be a Client Authorisation Form (CAF) or any other document.

Step 2: The client completes their VOI

The client (end-user) completes their VOI using Scantek’s secure platform, which uses advanced biometric verification and back-to-source checks to verify the individual’s identity.

Step 3: Then, they create their eSignature

After completing their VOI, the client is then prompted to create an e-signature. This will be used to sign the uploaded document.

Step 4: The client signs the document

Your client reviews the document and taps the signature box to sign. Scantek provides pre-set templates for common documents, like the Client Authorisation Form, to ensure your client’s signature is placed correctly (based on the practice management system used).

Step 5: The conveyancer applies their counter-signature

For certain documents, like the Client Authorisation Form, the conveyancer or portal user can also add a counter-signature after the document has been signed by their client.
